eRefMD — Privacy Policy

eRefMD is a clinical reference and consultation tool for verified, registered medical practitioners. It is not intended for use by patients or the general public. This policy explains what information we handle and why.

Information we handle

How we use it

Sharing

We do not sell your information. We share it only with service providers who process it on our behalf to deliver the app — for example, speech-to-text and language-model providers (for transcription and drafting), and email/SMS providers (to deliver messages you initiate). These providers are bound to use the information only to provide their service to us.

Storage, security and retention

Information is stored on secured servers and protected in transit with encryption. Clinical records are retained to serve as the professional medical record; you can request access, correction or deletion as described below. Dictation audio is not retained.

Your rights

You may request access to, correction of, or erasure of your personal information. Within the app, see Profile → Data rights, or email contact@erefmd.com.

Delete your eRefMD account and data

You can ask us to delete your eRefMD account and its associated data at any time. To request deletion:

  1. Email contact@erefmd.com from the email address registered to your account, with the subject “Delete my eRefMD account” (or, in the app, go to Profile → Data rights → Delete account).
  2. We verify the request is from the account holder and confirm by email before deleting.

What is deleted: your profile and login credentials, contact details (email, phone), medical-registration details, consultation and search history, any case posts and uploaded images you created, and your device-binding identifier. This is actioned within 30 days of a verified request.

What may be retained, and why: a limited record may be kept where the law requires it — for example, minimal transaction/billing records for tax and accounting, and any information we must preserve to meet a legal or medical-record obligation. Retained data is kept only as long as that obligation requires and is then deleted. We do not sell your data or share it for advertising.

Patient data

Any patient information entered into eRefMD is entered by the treating clinician for legitimate medical purposes. The clinician is the custodian of that record and is responsible for obtaining any consent required by local law. eRefMD processes it only to provide the service to that clinician.

Children

eRefMD is for licensed medical professionals and is not directed to children.

Changes

We may update this policy; material changes will be reflected by the date above.
